TrailMarke® Privacy & Data Notice

TrailMarke uses information for program delivery, administration, security, billing, support, and public-site communication and measurement. For customer-submitted mentoring or certification data, the customer typically decides the program purpose, participant population, fields, visibility, and settings; the roles can differ by data set, jurisdiction, and agreement.

Purposes and categories

Program data can include names, work email, role or department, professional information, intake and matching preferences, course and progress records, relationships, meeting or activity content, survey answers, attachments, and identifiers created by program settings. Operational records can include account and session identifiers, security events, support messages, sent-email metadata, billing fields, and infrastructure records.

Privacy modes and Anonymous configuration

Standard, Privacy-Enhanced, and Data-Minimized are separate program modes that change available collection, visibility, and activity features; they are not legal conclusions or compliance guarantees. Anonymous Mode uses administrator-issued participant codes instead of the standard named flow. Codes, matching attributes, authentication, support, billing, security records, and historical identifiers can still identify someone in context; Anonymous is not zero PII.

Providers, transfers, and retention

Processing can involve Replit-managed hosting on Google Cloud, Clerk authentication, Resend transactional email, Stripe payment and billing, optional Google Calendar or Microsoft Graph connections, and optional public-site measurement through Google Analytics or the LinkedIn Insight Tag when enabled and permitted. Provider legal entities, locations, transfers, support access, retention, backups, and deletion boundaries depend on the provider and applicable agreement. Retention depends on organization configuration, customer instructions, provider capabilities, legal and security needs, and applicable agreements; this notice does not promise a fixed deletion schedule.

YarnBurner is a separate product, is not part of TrailMarke's current integration offering, and is not required to use TrailMarke. Any future connection would be separately agreed and disclosed.

Matching and optional AI-assisted processing

TrailMarke's compatibility matching uses local algorithmic scoring over participant profile inputs and configured criteria; administrators review pairing proposals before publishing. Separately, optional AI-assisted document and business tasks can be enabled for a defined purpose and input set. They are separate from matching, not a universal model applied to all program data, and their provider, locations, retention, human review, training settings, and deletion process depend on the enabled workflow and applicable agreement. Administrators retain final judgment over pairing decisions.

Requests

Start with the organization administrator for customer-program data, or contact legal@trailmarke.com. Requests are reviewed under the applicable agreement and law; this notice does not promise a fixed deadline or that every request can be fulfilled by self-service. The available account export and erase actions cover selected records and are not a complete organization-wide or provider-wide request process.
